Purpose
This Privacy Policy explains how EquestrianIQ collects, uses, stores, shares, protects and deletes personal information and user-uploaded records.
Information we collect
- Account details: name, email, phone number, password credentials, subscription status and account preferences.
- Horse profile information: horse name, age, breed, height, discipline, competition level, registration details, care schedule and performance notes.
- Training and competition information: ride logs, videos, photos, lesson notes, goals, competition results, coach comments and app-generated insights.
- Record-keeping documents: vet reports, farrier records, dental records, vaccination certificates, worming records, saddle-fitting records, bodywork notes, insurance documents, ownership or lease documents, invoices, competition documents and related attachments.
- Team and sharing information: invited users, roles, permissions, comments, access history and sharing choices.
- Technical information: device information, IP address, log data, app usage events, crash reports, cookies or similar technologies, and security logs.
- Payment information: subscription plan, transaction status and limited billing records. Full card details are processed by the payment provider, not stored by EquestrianIQ.
Sensitive information
Some records may contain sensitive or private information, including health-related notes, injury records, medication notes, emergency contacts, junior rider information, insurance documents, ownership documents and professional reports. EquestrianIQ collects, stores and shares this information only where the user provides it and controls its use through record-level privacy settings.
How information is used
- To provide horse profile, training, competition, care, reminder, document storage, sharing and reporting features.
- To enable users to invite coaches, owners, vets, farriers, club administrators or other authorised people to view or contribute to selected records.
- To generate functionality such as reminders, dashboards, search, reports, training plans and insights.
- To provide customer support, troubleshoot issues, maintain security and prevent misuse.
- To process payments and manage subscriptions.
- To improve the app, subject to privacy settings, consent choices and de-identification where appropriate.
AI use
Where EquestrianIQ uses AI features, the app clearly explains whether uploaded content is analysed, whether users can opt in or opt out, and whether sensitive records are excluded by default. Sensitive documents are not used for AI insights unless the user has clearly enabled that use.
Sharing
Users control who can access each horse profile and each record. Sharing is role-based, record-specific, revocable and, where appropriate, time-limited. Public links are off by default and are not recommended for sensitive records.
International storage and processors
EquestrianIQ may use third-party providers for hosting, storage, email, analytics, AI, video processing, customer support and payments. See the Third-Party Processor Register for the current list.
User rights
- Access, correct, export or delete your own account and horse records, subject to product rules, legal obligations and backup retention limits.
- Revoke shared access at any time.
- Request correction of inaccurate personal information.

Security
EquestrianIQ takes reasonable technical and organisational steps to protect records from misuse, interference, loss, unauthorised access, modification or disclosure. Measures include encryption, access controls, audit logging, secure backups, staff access limits and incident response procedures.
